HELT Design Architecture Interiors:  A vision-oriented design firm positioned for growth in multiple sectors is seeking an experienced permit coordinator and project schedule manager to join our team.  This role is integral to multiple project teams and our clients by keeping projects on track as they move from construction document phase to permitting.  Those with related administrative and office management experience in the architectural profession should reach out to us to learn more.

Core Responsibilities:

  • Research and document project specific building permit requirements (multiple jurisdictions)
  • Prepare building permit applications, this may necessitate contacting clients directly for project information.
  • As drawing production nears completion, assist project managers in compiling information / documents for permit submittal.
  • Submit documents to permitting.
  • Monitor permit status with jurisdiction
  • Compile permit comments and assist project managers with resubmittal needs. This may entail writing a draft comments response letter for review by a project manager.
  • Resubmit (if necessary) for jurisdiction review.
  • Maintain office licensure qualifications and SOS Documents (multiple states).
  • Proposal maintenance and generation.
  • Internal office project scheduling, schedule monitoring and client status reports.
  • General office support. This may entail assisting other departments such as marketing, research and development, and software maintenance.
  • Ability to plan and manage diverse tasks to completion based on defined schedules.

Experience Requirements:

  • 5 to 10 years of experience within the field of architecture and or construction
  • Knowledge and experience using Project Scheduling Software such as MS Office
  • Excellent writing and communication skills.
  • Exceptional interpersonal skills.
  • Ability to interact well in various business and social settings with all types of people in a mature and professional manner.
  • Ability to work well with others under deadlines.
  • Proficient in Microsoft Outlook, Word, Excel, Adobe, Bluebeam
  • MS Office or Similar Project Management software experience.
  • Experience with software similar to Deltek, BQE, Monograph and or SCORO.
